Job DescriptionWe are looking for a highly organized Operations Specialist to support investment operations for a biotechnology-focused team in Tucson, Arizona. This position plays an important role in coordinating documentation, research, compliance tracking, and administrative activities tied to the evaluation, oversight, and progression of life science investments. The role works closely with internal colleagues, portfolio companies, legal partners, and external stakeholders, requiring sound judgment, precision, and strong follow-through in a fast-moving environment. Responsibilities: • Prepare, organize, and maintain a range of business and transaction-related documents, including standard agreements, amendments, and supporting materials for investment and portfolio activities., • Monitor key contractual, licensing, and investment obligations to help ensure reporting deadlines, compliance requirements, and follow-up actions are completed on time., • Maintain orderly and secure records for investment matters, project documentation, and legal files, ensuring information is accessible and properly tracked., • Conduct targeted research to support due diligence, market understanding, and decision-making for prospective and existing investments., • Oversee the organization of digital and physical information resources, including databases, subscriptions, publications, filings, and intellectual property reference materials., • Assist with project coordination by tracking portfolio activity, monitoring relevant patents and licensed assets, compiling data for internal reporting, and preparing notices or signature-ready documents., • Collaborate with internal team members, legal counsel, portfolio companies, and other external contacts to keep operational tasks moving efficiently and accurately., • Provide calendar and meeting coordination support when needed to help maintain smooth execution of team priorities and investment-related workflows.• Bachelor’s degree, or an Associate’s degree paired with at least 5 years of relevant experience in investment operations, finance, legal support, venture capital, or a related setting., • Background in areas such as contract administration, paralegal support, technology transfer, licensing, intellectual property, investment transactions, or dispute-related documentation is preferred., • Proficiency with Microsoft Office, Adobe Acrobat, and online research tools, including modern search and AI-enabled platforms., • Familiarity with tools such as Carta, Westlaw, Derwent, or DocuSign is advantageous., • Ability to work independently with discretion, initiative, and a strong commitment to confidentiality., • Strong analytical thinking, sound judgment, and problem-solving skills, with the ability to manage multiple priorities in a fast-paced environment., • Excellent attention to detail, document accuracy, and overall quality, along with the ability to collaborate effectively in a small team setting., • Demonstrated interest in venture capital, early-stage companies, innovation, and life sciences is preferred.
