Post Title: Health & Safety Coordinator Department: Operations, Estates & Facilities Reporting to: Health & Safety Advisor Location: To be determined, with travel across UK Management College campuses as required Hours per Week: 37.5 Working Pattern: Flexible, in line with operational, compliance, and business requirements Contract Type: Permanent Job Purpose The Health & Safety Coordinator is responsible for supporting the operational delivery and continuous development of health, safety, environmental, and fire safety compliance activities across UK Management College campuses. The postholder supports the implementation, monitoring, and maintenance of compliance systems, assurance processes, and safety programmes that enable the College to meet its statutory obligations and maintain safe, compliant, and effective learning and working environments. The role contributes to the development of operational systems and processes that support health, safety, environmental, and fire safety compliance across multiple locations. The Health & Safety Coordinator plays a key role in conducting inspections, workplace monitoring exercises, compliance assessments, routine audits, risk assessments, and incident investigations. The role provides accurate information, analysis, and reports to support decision-making, corrective actions, and continuous improvement initiatives. Working under the direction of the Health & Safety Advisor, the postholder collaborates with managers, academic departments, professional services teams, contractors, and external stakeholders to identify risks, monitor compliance performance, support assurance activities, and promote a positive culture of health, safety, environmental responsibility, and regulatory compliance across all campuses. Key Responsibilities Health, Safety and Environmental Monitoring Conduct routine health, safety, environmental, and fire safety inspections across College campuses. Undertake workplace monitoring exercises, compliance assessments, and safety observations. Complete campus walkabouts to identify hazards, unsafe conditions, and opportunities for improvement. Monitor compliance with College policies, procedures, and statutory requirements. Support departments in maintaining safe learning and working environments. Assist in the development and maintenance of inspection schedules, monitoring programmes, and compliance tracking systems. Maintain accurate records of inspections, observations, and monitoring activities. Prepare reports and recommendations for review by the Health & Safety Advisor. Risk Assessment and Compliance Support the completion, review, and monitoring of workplace risk assessments. Assist managers and departments in implementing and reviewing control measures. Conduct routine compliance reviews and low-level assurance audits against organisational and legislative requirements. Identify areas of non-compliance and support the implementation of corrective actions. Maintain compliance registers, records, and supporting documentation. Monitor progress against compliance action plans and follow up on outstanding actions. Escalate significant risks, hazards, and compliance concerns where appropriate. Support environmental compliance activities and monitoring requirements. Fire Safety and Emergency Preparedness Support the implementation and monitoring of fire safety arrangements across all campuses. Assist in coordinating fire drills, evacuation exercises, and emergency preparedness activities. Conduct routine checks of fire exits, evacuation routes, emergency signage, and fire safety equipment. Maintain fire safety records, logs, and statutory documentation. Monitor completion of fire safety actions arising from inspections and assessments. Support the review and implementation of emergency procedures and evacuation plans. Incident Investigation and Corrective Actions Support the investigation of accidents, incidents, hazards, unsafe acts, and near misses. Gather evidence, witness statements, photographs, and supporting documentation. Assist in the preparation of investigation reports and recommendations. Support root cause analysis and corrective action planning. Monitor the completion of corrective and preventative actions arising from investigations. Maintain incident records and reporting systems. Assist with trend analysis to identify recurring issues and opportunities for improvement. Audit Preparation and Assurance Support preparations for internal audits, external inspections, and regulatory reviews. Conduct compliance checks and audit-readiness assessments. Gather and organise documentation, records, and evidence required for audits. Monitor audit findings, recommendations, and action plans. Assist departments in implementing improvements arising from audit activity. Produce audit summaries and compliance reports for review by the Health & Safety Advisor. Contribute to continuous improvement initiatives based on assurance findings. Training, Advice and Stakeholder Engagement Support the delivery of health, safety, environmental, and fire safety inductions. Assist in delivering toolbox talks, briefings, awareness sessions, and safety campaigns. Promote safe working practices and positive health and safety behaviours. Develop and distribute guidance materials and safety communications. Provide first-line advice and guidance on routine health and safety matters. Build effective working relationships with staff, contractors, and stakeholders across multiple campuses. Systems, Reporting and Administration Maintain health, safety, environmental, and compliance management systems. Produce reports, inspection findings, action trackers, and performance summaries. Monitor completion of compliance actions and provide regular progress updates. Maintain policies, procedures, templates, and guidance documentation. Support the collection and analysis of data to identify trends, risks, and opportunities for improvement. Ensure records and documentation are maintained accurately and in accordance with regulatory requirements. Professional Practice Maintain current knowledge of health, safety, environmental, and fire safety legislation and best practice. Promote a culture of compliance, accountability, and continuous improvement. Work collaboratively with colleagues across all campuses and departments. Represent the Health & Safety function in meetings and working groups as required. Undertake other reasonable duties aligned with the scope and responsibilities of the role. Person Specification Qualifications & Professional Background Essential Criteria IOSH Managing Safely, NEBOSH General Certificate (or working towards), or equivalent relevant qualification. NEBOSH General Certificate. Fire Safety qualification. First Aid qualification. Safeguarding Level 2 or Level 3 Training. Desirable Criteria Membership of IOSH, IIRSM, or another relevant professional body. Experience Essential Criteria Experience supporting health and safety, environmental, compliance, facilities, estates, or operational activities. Experience conducting inspections, workplace monitoring activities, safety checks, or compliance reviews. Experience maintaining records, reports, and administrative systems. Desirable Criteria Experience within Higher Education or Further Education. Experience supporting audits, investigations, or assurance reviews. Experience working across multiple sites or locations.
