Job Description CMA is seeking a professional, organized, and customer-focused Assistant to the On-Site Community Manager to support the daily operations of the Waterford Point Amenity Center and surrounding common areas. Working under the direction of the On-Site Community Manager, this position supports community operations, vendor coordination, resident services, administrative functions, events, and facility maintenance. The ideal candidate is dependable, detail-oriented, able to manage multiple priorities, and committed to providing excellent customer service. Key Responsibilities Community Operations • Support the daily operations of the Waterford Point Amenity Center and surrounding grounds., • Conduct regular inspections of buildings, amenities, assets, and common areas., • Identify maintenance concerns, coordinate work orders, and follow issues through resolution., • Conduct amenity tours for new homeowners and assist with access materials and codes., • Maintain community inventory and operational records., • Assist with RFPs, bids, vendor proposals, and special projects., • Coordinate with landscape, pool, HVAC, irrigation, janitorial, access control, and other service providers., • Maintain vendor contracts, proposals, warranties, insurance certificates, W-9s, and related documentation. Administrative & Committee Support • Maintain Association, committee, meeting, vendor, and project records., • Assist with meeting schedules, agendas, meeting packets, minutes, and follow-up items., • Maintain project and action-item tracking logs., • Support community events, reservations, registrations, deposits, and vendor coordination., • Assist with community communications regarding projects, amenities, events, and operational updates., • Utilize Outlook, Teams, OneNote, shared drives, and CMA management systems. Resident & Customer Service • Serve as a primary point of contact for residents, visitors, vendors, and callers., • Provide professional, courteous, and responsive customer service., • Communicate Association rules, procedures, amenity information, and resident responsibilities., • Document resident concerns and requests and assist with appropriate resolution., • Escalate policy interpretations and management matters to the On-Site Community Manager. Financial & Administrative Support • Process approved amenity fees, reservation deposits, and other transactions., • Code invoices and check requests for approval and payment., • Track event-related expenses and assist with budget preparation and monitoring., • Prepare reports and other administrative materials as requested. Qualifications • High school diploma or GED required., • Three to four years of related experience and/or training, or an equivalent combination of education and experience., • Strong organizational, communication, problem-solving, and customer service skills., • Ability to work independently, prioritize multiple tasks, and exercise sound judgment., • Proficiency with Microsoft Office, Outlook, Teams, Excel, and related business software., • Experience with community management software such as CINC is a plus., • Valid driver's license and reliable transportation required. Work Environment & Physical Requirements This is a fast-paced, community-facing position with frequent interaction with homeowners, visitors, contractors, vendors, and management. The role requires regular outdoor property inspections and drive-around assessments. The position requires the ability to sit, stand, walk, bend, stoop, kneel, reach, and communicate effectively.
