Job Description Job Overview We are seeking a highly organized and detail-oriented Principal & Payroll Secretary to join our dynamic team. In this role, you will work closely with the School Principal to manage and oversee the full spectrum of the Principal's day-to-day schedule, payroll and timekeeping procedures for the school. The Principal's Secretary provides administrative and clerical support to the Principal while ensuring the efficient daily operation of the school office. This position serves as the primary point of contact for students, parents, staff, and visitors, maintaining confidentiality and professionalism in all interactions. As the Payroll Secretary, you are responsible for managing school payroll operations, maintaining employee time and attendance records, processing payroll transactions, and ensuring compliance with New York City Department of Education (NYC DOE) policies and procedures. Provides administrative support to school leadership while maintaining confidentiality and accuracy of payroll and personnel records. Duties: • Greet and assist students, parents, staff, and visitors in a professional and courteous manner., • Manage the Principal's calendar, appointments, meetings, and correspondence., • Answer and direct incoming phone calls, emails, and other communications., • Prepare, proofread, and distribute letters, reports, agendas, and other school documents., • Maintain confidential student, personnel, and administrative records in accordance with district policies., • Process biweekly payroll for pedagogical and non-pedagogical staff using NYC DOE payroll systems., • Maintain accurate employee attendance, timekeeping, leave balances, and payroll records., • Review and submit timesheets, overtime, per session, and substitute employee payroll., • Verify payroll data for accuracy and resolve discrepancies before payroll deadlines., • Monitor employee absences, leaves of absence, and FMLA documentation., • Maintain confidential personnel files and payroll documentation in accordance with DOE policies., • Assist new employees with onboarding payroll paperwork and employment documentation., • Process salary differentials, longevity increments, and payroll adjustments as required., • Coordinate with the NYC DOE Payroll Administration Office to resolve payroll issues., • Prepare payroll reports, staffing reports, and budget-related documentation for school administration., • Coordinate daily substitute teacher coverage, communicate substitute coverage and staffing needs when required., • Respond to employee inquiries regarding paychecks, deductions, benefits, and leave balances., • Assist with budget monitoring related to personnel expenditures., • Maintain calendars for payroll deadlines and ensure timely submission of required documents., • Support the Principal and Assistant Principal with administrative and personnel functions., • Maintain accurate records of employee certifications, licenses, and required documentation., • Utilize DOE systems such as Payroll Portal, Galaxy, ATS, SOLAS, EIS, OASIS, Jupiter, Operoo and Microsoft Office applications., • Ensure confidentiality of employee information and sensitive payroll data., • Perform other clerical and administrative duties as assigned., • Coordinate meetings, conferences, and special events, including scheduling and preparing materials., • Process budget-related paperwork as assigned., • Assist with attendance records, enrollment documentation, and student information systems., • Maintain office supplies and order materials as needed., • Serve as a liaison between the Principal, faculty, district offices, parents, and the community., • Assist with state and district reporting requirements and compliance documentation., • Handle sensitive information with discretion and maintain strict confidentiality., • Support emergency procedures and assist in coordinating responses during school incidents., • Perform other administrative duties as assigned by the Principal. Qualifications and Professional Requirements Required • High School Diploma or equivalent required., • 2 years of verifiable prior experience in an office setting, performing administrative duties, preferably within a fast-paced school or community non-profit environment., • Excellent communication and interpersonal skills, with a proven ability to build positive relationships with diverse student and family populations., • Strong organizational skills and attention to detail, with an ability to manage multiple priorities simultaneously., • Proficiency with standard office technology and software (e.g., Google Workspace, Microsoft Office Suite, Outlook calendar scheduling tools, etc.) Preferred • Associate's degree or completed college credits., • Bilingual communication skills (e.g., Spanish/English) to deeply connect with and support all school families.
