Job Description Position Overview: The Administrative Assistant is the first point of contact for MDC's McKinney office, responsible for creating a professional, welcoming front-office experience for visitors, clients, vendors, and project teams while providing administrative support to office and project staff. This role keeps daily office operations organized, responsive, and running smoothly. Part-time arrangements may be considered for the right candidate. Role & Responsibilities: Front Desk & Office Operations • Serve as the first point of contact for the office - greet visitors, clients, vendors in a professional, friendly manner, • Answer, screen, and route incoming calls; take accurate messages and follow-up in a timely manner, • Manage incoming and outgoing mail, packages, and courier deliveries, • Maintain clean, organized front desk, lobby, kitchen, and conference room areas, • Monitor inventory and order office and kitchen supplies Administrative & Project Support • Perform accurate data entry and recordkeeping in company systems, including the ERP (Acumatica), • Assist with document handling - filing, scanning, certificates of insurance, and subcontractor paperwork, • Support project managers, estimators, and office leadership with clerical tasks and reporting as needed, • Assist with scheduling meetings, conference rooms, and office calendars Office & Vendor Coordination • Coordinate with building management and office service vendors (cleaning, maintenance, equipment), • Support onboarding logistics for new hires, including desk setup, supplies, and welcome coordination, • Assist with planning office meetings, lunches, and company events Qualifications: Required • 1+ years of experience in a front desk, receptionist, or administrative support role, • Proficiency in Microsoft Office (Outlook, Word, Excel), and some ERP system experience, • Professional, courteous communication skills by phone, email, and in person, • Strong organization, reliability, and punctuality; able to handle confidential information with discretion, • High school diploma or GED Preferred • Experience in a construction, real estate, or related industry office environment, • Bilingual - English/Spanish Core Competencies • Communication – Conveys information clearly and professionally across all levels of the organization, • Accountability – Takes ownership of outcomes and follows through on commitments, • Problem-Solving – Identifies issues early and drives practical, timely solutions, • Collaboration – Works effectively across teams, trades, and departments to advance project goals, • Adaptability – Performs consistently in a fast-paced environment, • Attention to Detail – Maintains accuracy and quality across all work product Equal Opportunity Employer — Après Ventures an equal opportunity employer.
