Job Description About Us We are a busy, patient-focused private practice committed to delivering high-quality care and an exceptional patient experience. We are seeking a reliable, professional, and experienced Medical Receptionist to join our team. Position Summary The Medical Receptionist plays an important role in both the patient experience and the efficient daily operation of the practice. Responsibilities include patient check-in and check-out, scheduling, telephone coverage, insurance verification, payment collection, maintaining accurate patient records, and supporting patient flow throughout the office. This is a hands-on position in a busy medical practice. In addition to reception and administrative responsibilities, Medical Receptionists are expected to assist with patient care activities, including bringing patients to examination rooms, obtaining and documenting a comprehensive History of Present Illness (HPI), reviewing medications and medical history and preparing patients for the provider. Responsibilities • Greet patients and provide courteous, professional service throughout their visit, • Perform patient check-in and check-out responsibilities, • Verify and update patient demographics, insurance information, and required forms, • Verify insurance eligibility and benefits and obtain authorizations when necessary, • Collect co-pays, deductibles, outstanding balances, and other patient payments, • Schedule appointments, follow-up visits, diagnostic testing, and procedures, • Answer incoming telephone calls and appropriately handle patient questions and messages, • Maintain accurate and complete information in the electronic medical record, • Coordinate with providers and other staff to maintain efficient patient flow, • Escort patients to examination rooms and prepare rooms for patient visits, • Obtain and accurately document a comprehensive History of Present Illness (HPI) in the EMR, • Review and update medications, allergies, medical history, surgical history, pharmacy information, and other pertinent information, • Obtain and document vital signs, including blood pressure, pulse, temperature, height, weight, and other measurements as appropriate, • Confirm and document the patient's chief complaint and reason for visit, • Prepare patients for examinations and procedures as directed by the provider, • Assist providers with basic in-office procedures and examinations when requested and appropriately trained, • Prepare, clean, stock, and turn over examination rooms between patients, • Maintain appropriate levels of clinical and office supplies, • Follow infection-control procedures and maintain a clean and safe patient-care environment, • Assist with patient forms, medical records, scanning, faxing, and other administrative functions, • Communicate patient concerns or pertinent clinical information promptly to the appropriate provider, • Maintain patient confidentiality and comply with HIPAA, OSHA, infection-control requirements, and practice policies, • Work in check-in, check-out, telephone, scheduling, patient-rooming, and other areas of the practice as assigned, • Perform additional duties as necessary to support providers, patients, and the overall operation of the practice Requirements • Minimum 2+ years of experience in a medical office setting required, • Prior experience in a busy physician practice strongly preferred, • Experience obtaining and documenting patient histories and HPI preferred, • Knowledge of medical terminology, • Experience with insurance eligibility, benefits, and authorization processes, • Experience with electronic medical records; Modernizing Medicine (ModMed) experience preferred, • Comfortable obtaining vital signs and performing routine patient-care responsibilities, • Strong written and verbal communication skills, • Excellent patient service and interpersonal skills, • Ability to accurately document patient information in the EMR, • Ability to multitask and prioritize responsibilities in a fast-paced environment, • Strong attention to detail and organizational skills, • Ability to work effectively with physicians, advanced practice providers, clinical staff, and administrative staff, • Dependable, punctual, professional, and team-oriented, • Willingness to perform all responsibilities necessary to maintain efficient patient flow and office operations, • Preferred Qualifications, • Experience in ENT, facial plastics, or another specialty medical practice, • Experience with Modernizing Medicine/ModMed, • Experience with patient intake, HPI documentation, and vital signs, • Familiarity with prior authorizations and medical billing workflows, • Experience assisting physicians or advanced practice providers with office-based examinations and procedures What We Offer • Competitive compensation based on experience, • Health benefits, • Paid time off, • Professional and team-oriented work environment
