Position Summary The Receptionist serves as the first point of contact for clients, visitors, callers, and other professionals interacting with the firm and plays an important role in delivering a welcoming, professional, and service-oriented experience. This position manages the reception area, answers and directs incoming calls, greets and assists visitors, responds to general inquiries, and provides administrative support to attorneys and staff as needed. The ideal candidate is professional, personable, organized, and detail-oriented, with strong communication skills and the ability to manage multiple responsibilities while maintaining discretion and confidentiality in a professional law firm environment. Essential Duties and Responsibilities • Greet clients, visitors, vendors, and other guests promptly and professionally, ensuring a positive first impression of the firm., • Answer incoming telephone calls promptly and courteously; identify the nature of the call and route callers to the appropriate attorney, staff member, or department., • Assist clients, visitors, and callers with general inquiries while exercising appropriate judgment regarding confidential or sensitive information., • Notify attorneys and staff of arriving clients and visitors and assist with coordinating meeting and conference room needs as appropriate., • Maintain the reception area and other client-facing spaces in a professional, organized, and presentable condition., • Perform data entry, document preparation, scanning, filing, and other routine administrative tasks accurately and efficiently., • Provide administrative and clerical support to attorneys, legal assistants, and other departments as needed., • Receive, distribute, and assist with incoming correspondence, deliveries, and other materials as assigned., • Communicate effectively and professionally with clients, attorneys, staff, vendors, and other external contacts., • Maintain confidentiality and exercise discretion when handling client, firm, and employee information., • Assist with other administrative and office support responsibilities as assigned.Qualifications, • Previous receptionist, administrative, or professional office experience required; prior experience in a law firm or other professional services environment preferred., • Strong client service skills and the ability to interact professionally and courteously with a wide range of individuals., • Excellent verbal and written communication skills., • Strong organizational and time-management skills, with the ability to prioritize responsibilities and manage multiple tasks effectively., • Strong attention to detail and commitment to accuracy., • Ability to exercise sound judgment, discretion, and professionalism when handling confidential or sensitive information., • Proficiency with Microsoft Office applications and the ability to learn the firm's telephone, communication, and administrative systems., • Ability to work collaboratively and provide support across departments in a professional, team-oriented environment., • High school diploma or equivalent required.
