Job DescriptionJob Title: ReceptionistJob Description The Receptionist provides high-level administrative and front desk support by greeting visitors, managing incoming calls, coordinating packages and mail, and performing a wide range of clerical and administrative tasks. This role serves as the first point of contact for visitors and callers, ensuring a professional, welcoming, and efficient experience while maintaining organized records and supporting daily office operations. Responsibilities • Greet and direct visitors in a professional and courteous manner, ensuring they receive appropriate assistance and information., • Answer, screen, and route telephone calls or console switchboard inquiries, providing accurate information and taking messages as needed., • Receive and send packages via couriers, ensuring accurate documentation and timely distribution., • Maintain a detailed visitor log and call records, ensuring that information remains accurate, organized, and up to date., • Issue and manage security passes or badges for visitors, following established procedures and maintaining confidentiality., • Perform clerical functions such as typing, filing, photocopying, and data entry to support daily office operations., • Maintain the boardroom schedule, including booking and coordinating meetings, and ensure boardroom equipment is available and functioning properly., • Prepare and assemble materials such as mailers and bound documents, including binding books and preparing packets as required., • Provide general administrative support to staff, including document preparation, formatting, and distribution., • Handle information requests and conduct basic research as needed to support administrative and operational needs., • Maintain confidentiality of sensitive information and records in all aspects of the role., • Organize and prioritize tasks effectively to manage multiple responsibilities and meet deadlines.Essential Skills, • Strong verbal and written communication skills in English., • Ability to communicate effectively with visitors, callers, and colleagues in a professional and courteous manner., • Spanish-speaking ability required, with the ability to handle front desk and customer interactions in Spanish., • Proficiency in multi-tasking and managing multiple incoming requests, calls, and visitors simultaneously., • Customer service skills with a strong focus on providing a welcoming and helpful front desk experience., • Interpersonal skills to interact effectively with a wide range of individuals in person and over the phone., • Ability to work independently and manage one’s time effectively with minimal supervision., • Ability to keep information organized, accurate, and confidential., • Previous experience using computer applications such as Microsoft Word, Excel, and PowerPoint., • Experience with data entry and general administrative support tasks., • High school diploma or GED required., • 2–4 years of experience in a receptionist, administrative, or front desk role.Additional Skills & Qualifications, • Portuguese language skills preferred., • Experience using Famis 360 or similar facility or work order management systems., • Proficiency with Google Suite (such as Gmail, Google Calendar, Google Docs, and Google Sheets)., • Demonstrated ability to maintain accurate visitor logs, call records, and administrative documentation., • Experience supporting meeting coordination, including room scheduling and basic equipment setup., • Strong attention to detail and organizational skills in a fast-paced environment., • Ability to handle confidential information with discretion and professionalism.Work Environment This role is based on-site at a client facility in Orlando, Florida. The Receptionist works in a professional front desk and office environment, serving as the first point of contact for visitors and callers. The position involves regular use of computers, office software (including Microsoft Office and Google Suite), and office equipment such as phones, printers, and copiers. The workday typically follows standard business hours, with responsibilities that may require consistent presence at the reception area to ensure continuous coverage. The environment is office-based, with a focus on professionalism, clear communication, and responsive customer service. Job Type & Location This is a Contract position based out of Orlando, FL. Pay and Benefits The pay range for this position is $16.00 - $17.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
