Job Description Job Title: Office Assistant / Receptionist Job Description The Office Assistant / Receptionist serves as the first point of contact for the office, delivering exceptional customer service to members, guests, and staff. This role manages front desk operations, handles incoming communications, and provides administrative support to ensure smooth and efficient day-to-day office operations. The position is full-time, Monday through Friday, from 8:30 a.m. to 5:00 p.m. with a one-hour lunch break, totaling 37.5 hours per week. Responsibilities • Greet and welcome visitors in a professional and friendly manner, creating a positive first impression., • Answer and direct incoming phone calls promptly and courteously, ensuring callers reach the appropriate person or department., • Process incoming and outgoing mail, packages, and deliveries accurately and in a timely manner., • Admit visitors into the building and follow established security procedures for building access and visitor management., • Maintain a clean, organized, and professional reception area that reflects a welcoming environment., • Provide general information and assistance to members, guests, vendors, and other visitors., • Assist with scheduling meetings, reserving conference rooms, and coordinating appointments., • Support staff with administrative and clerical tasks such as data entry, filing, and document preparation., • Monitor and maintain office supplies inventory for front desk and reception area needs., • Assist with event coordination and meeting logistics, including preparation and setup as needed., • Use Microsoft Office applications to create, update, and manage documents, emails, and spreadsheets., • Handle sensitive information with discretion and maintain confidentiality at all times., • Collaborate with team members to ensure efficient office operations and provide backup support when needed., • Perform other related tasks and duties as assigned to support office and administrative functions. Essential Skills • Strong organizational skills and attention to detail to manage multiple tasks and maintain accurate records., • Dependability and punctuality to consistently support front desk coverage and office operations., • Ability to handle sensitive information with confidentiality and sound judgment., • Positive attitude and team-oriented mindset to collaborate effectively with staff and support a cooperative work environment., • Problem-solving skills and adaptability to respond to changing priorities and unexpected situations., • Strong verbal and written communication skills for interacting with callers, visitors, and staff., • Excellent interpersonal and customer service skills to provide a welcoming and professional experience., • Proficiency in Microsoft Office, including Word, Outlook, and Excel., • Ability to multitask and manage time effectively in a busy office environment., • Comfort with administrative support and clerical tasks such as data entry, filing, and document handling., • Experience with front desk operations, including taking phone calls, admitting visitors, and processing mail. Pay and Benefits The pay range for this position is $18.00 - $20.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
