We have an exciting opportunity for a Bid Coordinators in our Leeds office to join a growing team of win professionals who work closely with technical colleagues across the business to secure new projects and drive growth. Although based in a local office, the individual will work as part of a wider bidding team that supports opportunities across the geographic region, they will also be an integral part of a likeminded community of bid managers, coordinators and writers who are sharing best practice and driving improvement across the UK. As a proactive and highly organised Bid Coordinator you will support the smooth running of pursuit and submission activities at every stage of the win lifecycle. You will be responsible for implementing a managed approach to help teams produce accurate, compliant and well-presented bids – from the monitoring of inboxes / portals, through the coordination day-to-day bidding activities across our teams, to the production of high-quality professional submissions. What You'll Do: As a Bid Coordinator, you will support the bid process and play a key role in helping Ridge win new business opportunities. You will: • Monitor activity across submissions inboxes, procurement portals and internal trackers so that opportunities are identified, logged and promptly issued to the right people, • Set up, structure and manage a controlled working environment for each bid (eg Microsoft Teams sites) to enable collaboration across multi-disciplinary / multi-partner teams, • Embed the bid programme to see that bid team members respond in line with bid plan, that all deadlines are met, that all bids are compliant and that appropriate governance is in place, • Schedule and actively appropriate meetings to communicate our approach – from kick off, to workshops, through regular stand-ups to check progress, to reviews and approvals, • Undertake research, review previous relevant bids / best practice answers and gather inputs from multiple stakeholders to inform and contribute to our submissions, • Take ownership for the completion of standard responses and commonly requested information using content from our knowledge sites and systems and personal judgement / experience, • Work with stakeholders and content owners to assist them in the preparation of key bid elements such as CVs, project case studies and capability statements which demonstrate their experience, • Proof read and edit colleagues' content – challenging received material to see that each document contains the information required to create a compliant, successful and winning bid, • Coordinate the master submission document - working with relevant members of the team to produce accurate, compliant and well-presented bids that showcase the best of Ridge's offer, • Continuously improve and enhance the standards and effectiveness of our written responses in conjunction with the bid and marketing teams – including maintaining our central bid library A key part of the role is document production, so you will need to be confident using InDesign, Word and PowerPoint to prepare high quality documents and presentations through formatting, version control and compliance checks. We are looking for someone who is naturally thorough, comfortable taking ownership of administrative processes, and able to chase actions in a professional and constructive way. You should be able to manage competing priorities, communicate clearly with a range of stakeholders, and take pride in producing documents that are accurate, polished and submission ready. Just as importantly, you should be the kind of person who notices what needs doing and gets on with it. To succeed in this role, you'll have: • Experience of bid coordination / administration to assist in the delivery of quality bid submissions, • Experience within a professional services, consultancy, construction or related environment, • An understanding of bid portals and the identification, downloading and uploading of documents, • Previous experience of creating shared folders and collaborative working environments, • Excellent time management and organisational skills - prioritising and managing multiple tasks, • A proactive approach, with the confidence to follow up actions and keep workstreams moving, • A strong ‘can do' attitude - with the curiosity and creativity to learn about the organisation, • Strong document production skills – including knowledge of InDesign, Word and PowerPoint, • The ability to work under pressure and to tight deadlines – without losing attention to detail, • Clear and professional interpersonal communication skills, both written and verbal Qualifications: • Ideally degree qualified in a relevant subject, such as Marketing or English, • Advanced knowledge in Microsoft Office (Outlook, PowerPoint, Word, Excel), • APMP certification or an equivalent bid management qualification would be advantageous JBRP1_UKTJ
