Administrative Assistant Department: Executive Office Location: Salford, with occasional travel across UK Management College campuses as required. The Role The Administrative Assistant plays a key role within the Executive Office, providing professional and efficient administrative support to the Executive Assistant to the Chief Executive Officer. The postholder will help coordinate executive, governance, and operational activities across UK Management College and The Unibridge Group, ensuring the smooth running of day-to-day business operations. The role also supports the planning, coordination, and delivery of events across the College, assisting with event logistics, administration, communications, and stakeholder engagement to ensure successful outcomes. This position requires a highly organised, proactive, and professional individual who can manage competing priorities, maintain accuracy, and provide exceptional administrative support in a fast-paced environment. Key Responsibilities Executive & Administrative Support • Provide day-to-day administrative support within the Executive Office., • Support the Executive Assistant to the Chief Executive Officer with the management of the Chief Executive Officer's diary, including scheduling meetings, coordinating appointments, and ensuring priorities are managed effectively., • Coordinate meetings, prepare agendas, take accurate minutes, and track actions through to completion., • Prepare professional correspondence, reports, presentations, and other documentation., • Manage shared Executive Office inbox and respond to enquiries in a professional and timely manner., • Maintain accurate electronic and paper filing systems in accordance with data protection and governance requirements., • Handle confidential and sensitive information with discretion and professionalism. Governance Support • Support the administration of committees and governance meetings., • Ensure agendas, minutes, action logs, and governance records are accurate, maintained, and distributed within agreed timescales., • Monitor and track actions arising from meetings through to completion., • Maintain governance documentation and records to a high standard. Stakeholder & Office Coordination • Coordinate meeting logistics, including room bookings, catering arrangements, and circulation of meeting papers., • Liaise with internal departments and external stakeholders to facilitate effective communication and administrative support., • Support Executive Office projects through research, document preparation, and administrative coordination., • Assist with the organisation and coordination of Executive Office activities and initiatives. Financial & Operational Administration • Assist with the processing of purchase orders, invoices, and expense claims where required., • Maintain accurate records and documentation to support operational activities., • Provide flexible administrative support across the Executive Office in line with business requirements. Knowledge & Experience • Previous experience in an Administrative Assistant, Office Administrator, Executive Assistant support, or similar role., • Experience coordinating meetings, managing diaries, and maintaining accurate records., • Experience preparing professional correspondence, reports, presentations, and other business documentation., • Ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail., • Experience handling confidential information with discretion and professionalism., • Experience supporting senior leaders or executive teams is desirable., • Exposure to higher education, professional services, or corporate environments would be advantageous.
