Job DescriptionJob Title: Administrative Assistant / ReceptionistJob Description The Administrative Assistant / Receptionist provides front desk support, manages incoming calls, and performs a variety of clerical and administrative tasks to ensure smooth daily operations. This role includes handling invoicing, data entry for sales orders and materials, and general office support in a small, business casual environment. Responsibilities • Answer incoming phone calls promptly and professionally and transfer calls to the appropriate staff members., • Serve as the first point of contact at the front desk, greeting visitors and directing them as needed., • Prepare, process, and maintain invoices accurately and in a timely manner., • Key in sales orders and related certifications into the appropriate systems or databases., • Enter and update material receiving information accurately to support inventory and record-keeping., • Perform general clerical duties, including filing, scanning, and organizing documents and records., • Use Outlook to manage email communication, schedule appointments, and maintain calendars as needed., • Support day-to-day administrative activities to ensure efficient office operations.Essential Skills, • At least 1 year of work experience, preferably in an administrative or clerical role., • Proficiency in administrative support tasks, including handling documents and maintaining records., • Experience performing clerical duties such as data entry, filing, and scanning., • Ability to manage front desk responsibilities, including answering phones and greeting visitors., • Competence using Outlook for email communication and calendar management., • Strong attention to detail when keying in sales orders, certifications, and material information., • Effective verbal and written communication skills for interacting with callers, visitors, and staff., • Ability to organize and prioritize multiple tasks in a small office setting.Additional Skills & Qualifications, • Diploma or equivalent level of education., • Prior experience in a reception or front desk role., • Comfort working with office technology such as scanners and computer-based filing systems., • Ability to work independently while supporting a small office team.Work Environment This position is based in a small office environment that operates with a business casual dress code. The role involves working at the front desk, using computers and standard office equipment such as scanners and filing systems, and interacting regularly with callers, visitors, and internal staff. Job Type & Location This is a Contract position based out of Des Moines, IA. Pay and Benefits The pay range for this position is $17.00 - $18.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
