Job Description POSITION SUMMARY Provides courteous, knowledgeable assistance to clients and serves as the first and last point of contact for the center. Actively promotes and sells aesthetic and wellness services, memberships, and retail products. Performs cashiering, scheduling, stocking, administrative, and clerical duties to promote the efficient functioning of the center. Resolves difficult client problems with professionalism and independent judgment. This is a client-facing sales and service position, not a passive reception role. CLIENT EXPERIENCE AND SERVICE • Meets client needs, offers options, resolves problems, and follows up with clients through resolution., • Ensures full client satisfaction without unnecessarily referring the client to other staff members., • Provides professional, knowledgeable, and courteous service and maintains a friendly, helpful demeanor at all times., • Resolves client complaints and processes returns, refunds, or exchanges in accordance with company policy., • Greets each client by name where possible and delivers a consistent, polished arrival and departure experience., • Maintains a calm, poised, and professional appearance and presentation. SALES, MEMBERSHIP, AND RETAIL • Presents and closes memberships as a standard part of the client interaction. Membership conversion is a core expectation of this position., • Maintains working knowledge of all services offered, including injectables, laser and light-based treatments, skin rejuvenation, body contouring, hormone replacement therapy, and medical weight loss, sufficient to answer client questions and recommend appropriate next steps., • Recommends and books appropriate add-on services and consultations in coordination with clinical staff., • Educates clients on medical-grade retail products and drives retail attachment at checkout., • Follows up on leads, unconverted consultations, missed appointments, and lapsed clients., • Meets or exceeds assigned membership, retail, and add-on performance expectations., • Participates in social media engagement with clients on the center's business pages as directed. SCHEDULING AND FRONT DESK OPERATIONS • Manages appointments for clients and service providers, maximizing provider utilization through strategic booking, waitlist management, and rebooking at checkout., • Confirms appointments, manages cancellations and no-shows, and works to minimize open provider time., • Answers incoming calls, routes calls, takes messages, and provides information in accordance with company policy., • Uses proper telephone etiquette on every call., • Schedules meetings and appointments for the Clinic Manager or department staff as requested. CASH HANDLING AND LOSS PREVENTION • Performs all cashiering functions in accordance with department and company cash handling policies and procedures., • Uses appropriate verification procedures for credit card transactions and protects the center against monetary loss., • Maintains the cashiering area in a clean, organized fashion and keeps it stocked with necessary supplies., • Remains alert to product loss and reports any suspected theft or inventory discrepancy to the Clinic Manager. Does not confront or detain individuals. MERCHANDISING AND INVENTORY • Keeps the retail floor and display areas neat, clean, and fully stocked., • Shelves new stock, informs the Clinic Manager of fast- and slow-selling items, and maintains thorough knowledge of inventory., • Ensures merchandise is attractively displayed and current with promotional direction., • Participates in inventory counts and inventory management. ADMINISTRATIVE AND CLERICAL • Performs a variety of office operational duties, including photocopying, collating, distributing, mailing, faxing, filing, and delivering or picking up materials., • Inputs data accurately and edits routine documents., • Establishes and maintains filing systems, both physical and electronic., • Proficient in the use of company computer systems and corresponding programs, including the practice management and point-of-sale system., • Accurately reads and transcribes handwritten client intake documents. FACILITY AND ENVIRONMENT • Performs light cleaning, including but not limited to sweeping, mopping, and window and furniture cleaning., • Supports opening and closing procedures as assigned., • Serves refreshments to clients in accordance with company policy and applicable state law. COMPLIANCE AND CONFIDENTIALITY • Maintains the confidentiality of all client information in compliance with HIPAA and company privacy policy., • Documents all transactions, notes, and client communications accurately in the practice management system., • Does not provide medical advice, assess candidacy for treatment, or make clinical recommendations. All clinical decisions rest solely with licensed providers., • Complies with all company and department policies and procedures. TRAINING AND TEAM SUPPORT • Assists the Clinic Manager in training new staff., • Performs other related duties as assigned or requested. REQUIRED QUALIFICATIONS • High school diploma or equivalent., • Minimum of one (1) year of sales experience with direct responsibility for closing, upselling, or membership conversion., • Proficiency with computers, point-of-sale systems, and scheduling software., • Excellent verbal and written communication skills., • Availability to work evenings and weekends as scheduled., • Reliable attendance and punctuality. PREFERRED QUALIFICATIONS • Experience in the aesthetics, medical spa, or wellness industry., • Three (3) to five (5) years of sales experience, particularly in a commission, membership, or performance-based environment., • Associate's degree or equivalent combination of education and experience., • Experience with Zenoti or comparable spa or medical practice management software., • Familiarity with injectables, laser treatments, and medical-grade skincare lines., • Prior experience in a medical, clinical, or licensed professional office setting.
