This is more than a receptionist position. We need someone who can take ownership of the front desk, patient schedule, follow-ups, insurance issues, collections, care packages, and overall patient experience. Organization, punctuality, attention to detail, consistency, and follow-through are our highest priorities. The right person is self-motivated and does not need to be constantly reminded what needs to be done. We want someone who anticipates what is needed, takes initiative, thinks ahead, solves problems, and follows tasks through to completion. Fluent Spanish and English are REQUIRED. Responsibilities • Greet every patient warmly, professionally, and respectfully, • Manage patient check-in and checkout, • Answer phones and schedule, confirm, and reschedule appointments, • Take ownership of the schedule and proactively work to fill cancellations and openings, • Follow up with cancellations, no-shows, and patients who are overdue for appointments, • Maintain patient recall and follow-up lists so patients do not fall through the cracks, • Make sure patients leave with their appropriate next appointment or next step addressed, • Verify insurance eligibility and benefits, • Understand and track referrals and prior authorizations, • Understand copays, deductibles, coinsurance, patient responsibility, and outstanding balances, • Be comfortable handling money, collecting payments, discussing balances, and helping reconcile front-desk collections, • Identify insurance or authorization issues before they interfere with appointments, • Coordinate patient transportation when needed, • Keep patient information, paperwork, schedules, and front-desk workflows extremely organized, • Discuss and appropriately sell and upsell wellness services, care packages, supplements, and products, • Help interested patients understand care packages, pricing, and payment options and confidently help them enroll, • Follow up with interested patients who did not move forward, • Communicate effectively with physicians, clinical staff, billing staff, and patients, • Identify problems and suggest solutions to improve organization, efficiency, patient retention, and the patient experienceQualifications, • Fluent Spanish and English – REQUIRED, • Previous medical front desk experience – REQUIRED, • Experience in pain management, orthopedics, spine, PM&R, neurology, or a similar medical specialty strongly preferred, • Experience with medical insurance, eligibility, benefits, referrals, and prior authorizations, • Understanding of copays, deductibles, coinsurance, and patient financial responsibility, • Comfortable handling money, collecting payments, and discussing financial responsibility, • Comfortable with sales, upselling, and helping patients enroll in appropriate care packages, • Strong computer and scheduling/software skills, • Exceptional organization and attention to detail, • Strong multitasking, prioritization, and time-management skills, • Excellent attendance and punctuality, • Able to work independently without constant supervision or motivationWho We Are Looking For Personality and work ethic are extremely important to us. You should naturally think: “What still needs to get done?” rather than: “Nobody told me to do that.” If a patient was supposed to return and never scheduled, you follow up. If an authorization is pending, you check on it. If there is an opening, you work to appropriately fill it. If a payment was missed, you address it. If a patient is interested in a care package, you help them understand their options and get started. We need someone who notices things, remembers details, follows through, and takes action without needing to be pushed. Sales, Growth & New Ideas You do not need to be a high-pressure salesperson, but you must be comfortable with sales and asking interested patients to move forward. You should be comfortable discussing our wellness services, care packages, supplements, and products; explaining pricing and options; appropriately upselling; and helping interested patients enroll. We are a growing practice, and new ideas are welcomed and encouraged. We want someone who will speak up, suggest better ways of doing things, identify opportunities we may be missing, and help us build better systems.
