    To ensure that reception and administration duties at the Foyer are carried out efficiently, effectively, and with professionalism; maintaining good communications with others and supporting the management team. Whilst this is an Admin role, you will be taking an active part in working with the young people at the Foyer. Summary of Duties: Reception & administrative duties · As first point of contact at the Foyer, provide a professional, friendly and caring welcome to the service. · Answer, direct and deal with telephone calls and enquiries, including referrals to the service. · Ensure all referrals are completed promptly within the specified time scale to include appropriate referral checks, assessments, completion of necessary paperwork for service users including induction and assist management team with risk assessments/support plans. · Assist service users with enquiries and requests, e.g. rent payments, reporting repairs, use of laundry and other facilities. · Receive and direct professionals, contractors, and other visitors to the Foyer, ensuring the security of the site is upheld. · Take an active part in the void management process. · Contribute to the daily events and ensure relevant handover to colleagues, including night concierge. · Ensure all Safeguarding concerns are reported immediately to the management team and complete Safeguarding referrals when required. · Check and update computer records, including but not limited to data entry onto the SASSHA (Housing Management) and Dudley Gateway system. · Ensure property keys are logged in/out to authorised persons as per procedure. · Process incoming and outgoing post. · Carry out general office duties including photocopying, producing correspondence, completing forms & registers & filing.
