Job Description Lets get one thing clear --- this is NOT a housekeeping role. This is a role who FINDS one, manages home, schedules. etc Example - if I ask you to stop at starbucks on the way in, please get yourself a venti coffee too! I have very high standards but I am not mean. Ever. Location: [NYC-Manhattan] Schedule: 20 thours per week, on site, across three or four fixed days (no Fridays!) Compensation: $[XX] to $[XX] per hour, (please list you range when applying please) Reports to: Principal, directly. No layers. - this is important to me. More than you know. Confidentiality: Signed confidentiality agreement required as a condition of employment --- my working style is simple. The second I can't trust you - it's not going to work out. It IS that simple for me. I am looking for one person to run the operations of my personal life and my apartment. This is a management job, not a cleaning job. You will not be scrubbing anything. You will be finding, hiring, scheduling, and holding accountable the people who do. If you are the kind of person who walks into a situation, sees the six things that are being handled badly, and quietly fixes all six without needing to be asked twice, keep reading. What you will actually do Vendor and household management • Source, vet, hire, and supervise all household vendors: cleaner or cleaning service, professional organizer, handyman, dry cleaner, laundry, plumber, electrician, appliance repair, window cleaner, pest control, • Get bids, check licensing and insurance, negotiate rates, and manage the relationship going forward, • Be present for and supervise any vendor visit that requires access to the apartment, • Hold vendors to standard. Re-do work that is not right, replace vendors who need replacing, do it without drama, • Maintain a running vendor list with contacts, rates, terms, and notes on quality, • Handle all building and management-company matters: maintenance requests, package issues, access, deliveries, building staff relationships, • Track what the apartment needs before it becomes a problem: filters, batteries, bulbs, seasonal work, warranty expirations Calendar and scheduling • Own my personal calendar and keep it accurate and conflict-free, • Book and confirm all personal appointments: medical, dental, personal care, service calls, • Coordinate personal commitments against my work calendar, • Manage RSVPs, reservations, tickets, and personal social scheduling Errands and daily logistics • Groceries, pharmacy, shipping and returns, dry cleaning runs, gifts, hard-to-find items, • Wait-for-the-delivery, sit-on-hold-with-the-insurer, chase-the-refund work, • Returns and warranty claims, seen through to actual resolution Travel • Research and book flights, hotels, cars, and ground transport, • Build a clean itinerary with confirmation numbers in one place, • Handle changes and disruptions in real time, including outside normal hours when I am traveling Bills, records, and light finance • Track and pay household bills on time, no exceptions, • Reconcile receipts, keep clean records, flag anything unusual, • Manage subscriptions and recurring charges, cancel what is not being used, • Maintain an organized digital filing system for household and personal records, • Track household spend against a monthly budget and tell me when we are off Inventory and home systems • Keep the household stocked without me noticing that it happens, • Maintain systems for where things live so that the apartment stays functional after the organizer leaves, • Manage seasonal storage and rotation Who this is for Required • Three or more years supporting a principal, executive, or private household in a comparable role, • Demonstrated ability to hire and manage vendors, including firing one when necessary, • Extreme discretion. This is the non-negotiable. My home, my calendar, my finances, my relationships, and my guests are private. You will see all of it and you will speak about none of it, during employment and permanently after it, • Highly organized and genuinely proactive. I should not have to follow up on things I have already handed to you, • Excellent written and verbal communication. You will be representing me to vendors, building staff, and service providers, • Comfortable and fluent with technology: shared calendars, cloud storage, expense tracking, password management, • Valid driver's license and reliable transportation, or the ability to move around the city efficiently, • Willing to sign a confidentiality and non-disparagement agreement, • Willing to complete a background check and provide verifiable references from prior principals or employers Preferred • Prior experience in a private household or family office setting, • Bookkeeping or budgeting experience, • Existing vendor network in this city, • I run a Democratic consulting company - if you're that nerd who also wants to learn about this area, it would be great to have a thought partner - possible road to personal CoS. Please work yourself out of this initial role! This household is LGBTQ. Candidates who are not - are not a fit for this role. How this role works • You will have real authority. Within an agreed budget you make vendor decisions without checking in on each one, • You will have real accountability. If a vendor fails, that is your problem to solve, not mine to discover, • Hours are yours so that you can batch errands and plan your week. I will respect them, • On-call expectations will be defined in writing before you start. There is a short list of genuine emergencies. Everything else waits for your next working day Don't worry if I call - there's an issue, and please pick us both up Starbucks on the way • Ninety-day review, then annually. If the role needs more hours, we will discuss increasing them rather than quietly expanding what you do for the same pay What I am not looking for • A housekeeper. Nobody in this role cleans., • Someone who needs a task list handed to them each morning, • Someone who is casual about privacy Compensation and terms • 1099 - $[XX] to $[XX] per hour depending on experience, reviewed at ninety days.
