Job DescriptionAdministrative Assistant - Psychological Services Center Pay Rate: Up to $28.00 per hour Location: Teaneck, NJ Schedule: 9-5 Contract Position Overview Our client is seeking a detail-oriented and professional Administrative Assistant to support the day-to-day operations of a busy Psychological Services Center. This role serves as the first point of contact for clients, students, faculty, and community partners while providing comprehensive administrative, scheduling, records management, billing, and office support. The ideal candidate will possess strong organizational skills, discretion when handling confidential information, and the ability to manage multiple priorities in a fast-paced clinical environment. Key Responsibilities Front Desk & Client Services • Answer and direct incoming telephone calls, take messages, and provide information regarding clinic services., • Schedule appointments and complete intake/referral documentation for new clients., • Serve as the primary point of contact for clients, students, faculty, and community stakeholders., • Assist in resolving routine client concerns and elevate complex issues when necessary., • Maintain clinic and room schedules and coordinate meeting space usage.Records & Documentation Management, • Create, maintain, and organize client files and confidential records., • Monitor records for completeness and accuracy and follow up with providers regarding missing documentation., • Process requests for release of records in accordance with confidentiality requirements and applicable regulations., • Maintain secure storage and management of sensitive client information.Administrative & Office Support, • Provide administrative support to leadership and clinical staff., • Prepare correspondence, meeting materials, reports, and presentations as needed., • Attend staff meetings and record meeting minutes., • Manage incoming and outgoing mail, email correspondence, and document distribution., • Order office supplies and maintain inventory levels., • Coordinate onboarding logistics for incoming staff and student providers.Billing, Accounting & Financial Support, • Prepare billing documentation and assist with client payment processing., • Maintain financial records, ledgers, and spreadsheets., • Support budget tracking, expense reconciliation, and reporting activities., • Assist with insurance and third-party reimbursement inquiries., • Support collection efforts related to outstanding client balances., • Coordinate payroll-related documentation and administrative processes.Compliance & Operations, • Maintain confidentiality of all client, employee, and organizational information., • Ensure compliance with organizational policies, procedures, and applicable regulations., • Assist in improving operational processes and administrative workflows., • Support emergency preparedness procedures and office operational readiness., • Coordinate special projects and perform additional administrative duties as assigned.Qualifications, • High school diploma required; Associate's or Bachelor's degree preferred., • 3+ years of administrative experience, preferably in a healthcare, counseling, behavioral health, higher education, or clinical setting., • Experience with scheduling, records management, billing, and customer service., • Strong proficiency in Microsoft Office Suite, including Excel, Word, and Outlook., • Excellent written and verbal communication skills., • Ability to handle sensitive and confidential information with professionalism and discretion., • Strong organizational skills with the ability to prioritize multiple tasks independently., • Experience working with electronic records systems or practice management software is a plus.Pay Details: $26.00 to $28.00 per day Search managed by: Tracy Galarza Benefit offerings available for our associates include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and a 401K plan.
