Job Description Position Description The Administrative Assistant is vital in the Valley Sierra Small Business Development Center (SBDC), providing professional clerical and administrative assistance to ensure efficient operations across the program’s service area. Reporting directly to the SBDC Program Manager, this position supports internal staff, business consultants, and clients by managing various administrative tasks. Core responsibilities include maintaining accurate electronic and physical records related to consulting and training activities and ensuring timely and compliant data entry into the Neoserra database in alignment with U.S. Small Business Administration (SBA) and Central California Regional SBDC requirements. The role requires high attention to detail, confidentiality, and the ability to work collaboratively in a fast-paced environment. Essential Duties & Responsibilities • Represent Stanislaus Business Alliance, Inc. (Valley Sierra SBDC) positively to the community., • Professionally provide general information about SBDC programs and services to the public through walk-ins, phone calls, or emails., • Review and analyze client data to track economic impact and offer strategic recommendations on an ongoing basis., • Adhere to all Stanislaus Business Alliance, Inc. (Valley Sierra SBDC) policies and procedures, including workplace safety, reporting work-related injuries, infection control, and mitigating potential safety risks for staff, clients, and others., • Assist prospective clients with the initial request for services process to ensure access to SBDC services., • Support the Director and other staff with clerical tasks related to the day-to-day operations of SBDC., • Organize counseling appointments, meetings, and training sessions, ensuring the availability of necessary facilities., • Notify staff and Business Consultants of any changes to work or consulting schedules., • Order and manage office supplies, ensuring proper inventory control., • Safeguard company assets., • Help ensure SBDC compliance with applicable Regional SBDC and SBA policies and procedures., • Maintain positive working relationships with the host organization, local government representatives, educational institutions, business assistance agencies, and economic development groups., • Foster a supportive and respectful work environment for all colleagues., • Collaborate with the team to achieve common goals., • Respond efficiently in emergencies, thinking and acting quickly., • Occasionally drive for company-related business., • Coordinate necessary maintenance and repairs for SBDC and host facilities and equipment., • Present a positive view of SBDC to the community., • May drive on company business., • Comply with all OS/SBDC policies and procedures, including but not limited to workplace safety, reporting work-related injuries, infection control, and preventing potential safety risks for staff, clients, and others., • Regular attendance is an essential responsibility of each employee at SBDC. Employees are expected to report to work as scheduled and be prepared to start working., • The list of job duties and requirements is not all-inclusive. Knowledge, Skills, and Abilities • Understand and adhere to various grant requirements., • Work independently and collaboratively on-site at our Modesto office and other assigned satellite locations., • Operate general office equipment and software efficiently, with high competence., • Design forms and draft general and specialized office correspondence., • Work effectively under pressure to meet multiple and, at times, simultaneous deadlines., • Practice active and effective listening., • Communicate clearly and effectively, both orally and in writing., • Follow both oral and written instructions accurately., • Understand and comply with all federal regulations applicable to the SBDC, UC Merced Regional SBDC network, and Opportunity Stanislaus policies and procedures., • Organize and maintain filing systems and files with accuracy., • Demonstrate a strong command of English usage, including grammar, spelling, and punctuation., • Build and maintain positive, cooperative relationships with other departments, staff, clients, and community members., • Bilingual (English/Spanish) preferred. Experience, Education, and Requirements Experience • One year of experience performing complex clerical/administrative support in an academic, business, community, government, or professional association environment, working with and greeting the public., • Requires proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and Google Suite., • Significant experience working with and especially in small businesses is desirable. Education • High School graduation or GED is required., • Associate’s degree or 60 semester units from an accredited educational institution in Business or Office Administration or related field is preferred. Physical and Environmental Conditions and Demands • Indoors in a typical office environment approximately ninety-five percent (95%) of the time., • Frequent computer use at the workstation for up to eight hours., • Frequently work at a fast pace with unscheduled interruptions., • Ability to occasionally move (walk or drive) from one work location to another., • Dexterity of hands and fingers to operate a typewriter and computer keyboard;, • Ability to walk, reach, sit, stand, stoop, crouch, and climb stairs., • Ability to move, carry, push, pull, and lift up to 20 pounds., • Dexterity of hands and fingers to operate a computer keyboard., • The ability to observe details at close range (within a few feet of the observer)., • Ability to communicate information and ideas in English so others will understand., • Must be able to exchange accurate information., • Regular and Consistent Attendance.
