The successful candidate will develop trusted relationships throughout the company, personally lead recruiting, anticipate organizational needs, build reliable systems, and take ownership of outcomes. \n \n Key Responsibilities \n \n Human Resources & Employee Relations \n • Serve as the primary resource for day-to-day HR matters. \n • Build strong relationships with employees and managers through proactive communication and regular check-ins. \n • Advise on policies, attendance, benefits, performance, workplace expectations, and employee concerns. \n • Manage employee relations, Conduct candidate screens and coordinate structured interviews, references, background checks, licensing verification, offers, and pre-employment requirements. \n • Deliver an organized, responsive candidate experience. \n • Track pipeline activity, source effectiveness, candidate quality, time-to-fill, and offer acceptance. \n \n Onboarding, Training & Development \n • Own new-hire readiness from accepted offer through the introductory period. \n • Ensure workspaces, technology, payroll, benefits, systems, licenses, training materials, and documentation are ready before each employee starts. \n • Prepare first-day and first-week schedules, introductions, orientation, and training plans. \n • Conduct structured check-ins during the first week and at approximately 30, 60, and 90 days. \n • Identify integration, training, and performance concerns early. \n • Coordinate mentorship, professional development, and an annual training calendar. \n • Track licenses, certifications, continuing education, and compliance training. \n \n Employee Engagement & Culture \n • Plan employee-engagement, recognition, team building, charitable, and company events. \n • Establish consistent channels for employee feedback and communication. \n • Help managers recognize strong performance and address concerns promptly. \n • Promote professionalism, accountability, responsiveness, collaboration, continuous learning, and respect. \n • Strengthen employees’ connection to the company’s mission and one another. \n \n Benefits, Payroll & HR Administration \n • Support employees with benefits questions, enrollment changes, and annual open enrollment. \n • Coordinate with brokers, carriers, payroll providers, advisors, and other partners. \n • Manage payroll changes, deductions, timekeeping, PTO, and employee-information updates. \n • Maintain organized attendance, leave, mileage, expense, and employment-documentation systems. \n • Review benefit programs and recommend practical improvements. \n \n Office & Workplace Operations \n • Own the overall employee and workplace experience in the Melville office. \n • Coordinate seating, furniture, equipment, supplies, facilities, security, maintenance, and new-hire readiness. \n • Manage relationships with technology, facilities, food service, supply, and other operational vendors. \n • Ensure dependable delivery of office amenities, including breakfast, lunch, snacks, and kitchen supplies. \n • Coordinate IT needs and verify that work is completed successfully. \n • Maintain office calendars, administrative systems, purchasing processes, and contingency plans. \n • Continuously improve office efficiency and operational reliability. \n \n Leadership, Accountability & Organizational Support \n • Supervise, coach, and develop assigned administrative and support employees. \n • Establish clear responsibilities, priorities, schedules, and performance expectations. \n • Coordinate cross-training, office coverage, evaluations, and time-off requests. \n • Track open matters through completion and proactively escalate delays. \n • Build repeatable procedures, checklists, and accountability systems. \n • Partner with ownership and senior management on workforce planning, organizational design, staffing, and employee development. \n • Translate approved initiatives into organized implementation plans and concise status reporting. \n \n Qualifications \n • Bachelor’s degree in human resources, Business Administration, Management, or a related field or an equivalent combination of education and experience. \n • Approximately seven or more years of progressive HR experience with broad generalist responsibility. \n • Experience independently owning a significant HR function, operating as an HR discretion when handling confidential matters. \n • A proactive, resourceful mindset and willingness to solve both strategic and practical problems personally. \n • Ability and desire to work full-time on-site in Melville, New York. \n \n Compensation & Benefits \n • Annual salary of $135,000–$155,000, based on experience and qualifications \n • Annual bonus opportunity \n • Health insurance with a majority employer contribution \n • Vision insurance \n • 401(k) with company matching \n • Generous paid time off and paid holidays \n • Training and professional-development support \n • Modern office with a full kitchen \n • Complimentary breakfast, lunch, snacks, and beverages daily \n \n Who We’re Looking For \n We are looking for a leader who enjoys building and not simply maintaining. The right person will be equally comfortable managing a sensitive employee matter, recruiting an accomplished passive candidate, supporting a new hire, resolving an onboarding issue with IT, organizing an employee event, coaching a team member, holding a vendor accountable, and advising leadership on the workforce required for our next stage of growth. \n \n This highly visible position offers the opportunity to shape how United Public Adjusters recruits, develops, supports, and retains its people. \n
