Role Purpose The Shoot Coordinator is responsible for the end-to-end coordination of e-commerce shoots, which can take place every two weeks. Working closely with Buying, Styling, Model Booking, Creative and external partners, they own the shoot critical path from pre-production through to final image delivery and online publication. They will ensure products, models, studio teams, post-production and any required re-shoots are fully aligned, keeping timelines on track and ensuring high-quality imagery is delivered in line with agreed launch dates. The role also supports wider campaign production and provides day-to-day coordination and guidance to external support teams. Role Responsibilities Pre-Shoot Coordination • Coordinate the weekly flow of product samples for e-commerce shoots, ensuring products are available, prioritised and delivered in line with agreed shoot schedules and product launch dates., • Work closely with Stylists and the Model Booker to allocate products, models and styles in line with the brand vision., • Work closely with Buying teams to understand product intake, launch priorities and key dates, raising any discrepancies or risks that could impact the shoot schedule., • Support the preparation, packing and dispatch of products to external shoot locations., • Work closely with the Model Booker to forecast model requirements approximately one month in advance, balancing creative requirements with agreed budgets., • Maintain an accurate and up-to-date shoot critical path, proactively identifying risks and taking action to keep activity on track. Post-Shoot & Image Production • Ensure products are checked following shoots and returned to the relevant departments promptly., • Ensure any products not shot on the assigned date are returned to the appropriate priority deck and rescheduled where required., • Coordinate the post-production workflow from initial image selection through retouching and final delivery., • Manage the transfer and filing of final images for retouching, reviewing mark-ups and providing clear feedback to ensure imagery meets brand and e-commerce standards., • Ensure final retouched imagery is delivered and uploaded in line with agreed online launch dates., • Maintain accurate filing of final imagery within the Digital Asset Management (DAM) system., • Work closely with external administration and production support teams to communicate priorities, manage workloads and ensure agreed deliverables are completed efficiently., • Produce and distribute weekly OPR reports to Buying and relevant stakeholders., • Process and track invoices relating to e-commerce and shoot activity, ensuring these are completed accurately and within agreed timescales. Creative Production & Team Support • Maintain strong knowledge of models, photographers, stylists, locations, production companies and other creative resources within the fashion and photography industry., • Support teams with wider campaign production, including researching locations, identifying creative resources and supporting the finalisation of crew., • Build effective relationships with internal creative teams and external production partners to ensure shoots are delivered smoothly and to brand standards., • Lead daily production meetings where required, ensuring workloads, priorities and potential issues are clearly communicated. Technical Requirements • Previous experience coordinating e-commerce, fashion, photography, studio or creative production activity., • Strong knowledge of models and creative resources within the fashion, photography or production industry., • Excellent understanding of critical paths and the ability to coordinate multiple activities against tight deadlines., • Strong organisational and time-management skills, with the ability to prioritise competing projects and respond quickly to changing requirements., • Excellent attention to detail, particularly when managing product samples, imagery, schedules and launch dates., • Strong stakeholder management skills, with the confidence to work across Buying, Styling, Creative, Production, Model Booking and external partners., • Proven ability to proactively identify issues, communicate risks and find practical solutions to keep projects on track., • Strong written and verbal communication skills, with the ability to work effectively with international teams and external partners., • Strong digital and administrative skills, with experience using systems to manage assets, workflows, reporting and documentation., • Fluent English is required; Spanish language skills, professional and proactive approach to communication, ensuring queries, actions and issues are responded to and resolved within agreed timescales. What Success Looks Like • Weekly e-commerce shoots are fully prepared and delivered against agreed schedules., • Product samples are available, tracked and returned efficiently, with ISNOS levels kept as low as possible., • Shoot and post-production critical paths are accurate, proactively managed and communicated to key stakeholders., • High-quality imagery is delivered and uploaded in line with product launch dates., • Internal teams and external partners have clear priorities and timely communication., • Creative production runs smoothly, with issues identified and resolved before they impact delivery.
